Registration forms should be submitted as early as possible, since most tours are limited in capacity. Travel Notes are sent only to those registered for a Heart of Europe Bicycle Tour.

Regular deposits are necessary so that the Heart of Europe Bicycle Tours can
meet financial obligations abroad. A convenient installment plan is outlined
below. Major credit cards can be accepted for the airfare only.
1. $400 deposit due with registration form.
2. $500 payment due 120 days prior to departure.
3. Balance due 60 days prior to departure.
Statements are sent periodically. Please adhere to the payment schedule outlined above in order to avoid late penalties and fees. Tour registrations received less than 60 days prior to departure will be assessed a late fee of $75. Avoid the late registration fee by sending full payment with the registration form. Late registrants are liable for airfare increases and single supplements if accommodation in twin/double rooms cannot be arranged. A $20 charge is assessed for all returned checks.

Insurance Coverage is included
Insurance coverage is included in all of the Heart of Europe Bicycle Tours programs. The outline included hereunder is a summary of that coverage. For specific limitations and exclusions, refer to the policy on file at HOEBT headquarters.
Summary of Coverage:
$10,000 Travel Accident;
$1,000 Medical;
$300 Baggage Coverage;
$600 for Cancellation or Tour Interruption;
$600 Travel Delay.
Additional health and accident, baggage and trip cancellation insurance is available from Heart of Europe Bicycle Tours.
All prices quoted are in U.S. Dollars and are based on tariffs, land costs and exchange rates in effect on November 1, 2004, and a minimum of 16 participants. Prices are subject to adjustment in accordance with the fluctuation of these conditions.
Heart of Europe Bicycle Tours has substantial contractual agreements with airlines, hotels, transportation and other ground services in Europe that require early deposits and periodic payments. The right to refunds if the participant changes plans is therefore limited. Participants must cancel in writing and the postal service postmark will be effective in determining the date affecting all refunds. Five day maximum is allowed for postmarked cancellations to arrive in our office.

No show passengers receive no refund.
Applicants who cancel within 45 days of departure and who find their own
acceptable replacement for the tour receive a full refund less $250. The price
of a vacant seat or the costs of segments of the program (including hotels,
meals, tours, etc.) not provided due to participants missing a scheduled
departure or absences abroad cannot be refunded. If a flight or transfer is
missed, the participant is liable for the expense incurred in returning to the
group.
